In official data protection speak, I’m the data controller. In normal human terms: if you give me your information, I’m responsible for keeping it safe and using it properly.
What data I collect (and why)
I only collect what I actually need to do my job properly. That may include:
- Your name and contact details
- Enquiry and booking information
- Contracts, invoices, and payment records
- Questionnaires and planning details
- Emails and messages we’ve exchanged
- Event details relevant to your photography
- Basic website usage data (via cookies)
No weird stuff. No unnecessary stuff.
How I collect your data
Your data usually comes directly from you when you:
- Fill in a contact form on my website
- Enquire about or book photography
- Sign contracts or complete questionnaires
- Email or message me
- Access your online photo gallery
How your data is used
I use your information to:
- Reply to enquiries
- Manage bookings and contracts
- Photograph your wedding, event, or session
- Deliver galleries and images
- Send invoices and handle payments
- Communicate important information
- Improve my website and services
I do not sell your data, and I do not pass it around for marketing purposes. Ever.
Legal basis for processing
UK GDPR says I need a lawful reason to process your data. Mine are:
- Contract (because you’ve booked me)
- Legitimate interests (running my business properly)
- Legal obligation (tax and accounting requirements)
- Consent (where needed, for example optional marketing)
Third party services I use
To keep things organised and secure, I use a small number of well-established services:
- Studio Ninja for contracts, questionnaires, bookings and invoicing
- Pic-Time for online galleries and image delivery
- WordPress to run this website
- Payment providers to process invoices securely
These providers only process data as needed to deliver their services and are required to comply with data protection law.
When you access a gallery on Pic-Time, you will be asked to accept their terms and conditions as well.
Photography, images, and personal data
Photographs can be personal. I get that.
- Images are stored securely
- They’re only shared according to your contract
- They’re never sold or licensed without permission, unless agreed
Any use of images for my website, portfolio, or marketing is covered separately in your photography contract. If you ever have questions, ask. I’m very much on the open conversation end of the spectrum.
How long I keep your data
I only keep data for as long as there’s a good reason to:
- Client records: usually up to 7 years (tax and legal reasons)
- Images: as outlined in your contract
- Unsuccessful enquiries: typically deleted within 12 months
Your rights
Under UK GDPR, you can:
- Ask what data I hold about you
- Request corrections
- Ask for data to be deleted
- Restrict or object to processing
- Request a copy of your data
- Withdraw consent at any time (where applicable)

Complaints
If you are unhappy with how your data has been handled, please raise it with me first so I can put it right. You also have the right to contact the Information Commissioner’s Office (ICO).

All photography bookings are subject to specific terms and conditions which you’ll review and accept as part of a contract before we work together.
These are provided and agreed through Studio Ninja before a booking is confirmed and cover:
- Payments and booking fees
- Cancellations and rescheduling
- Image delivery
- Usage rights
- Liability and limitations
If anything is unclear, ask before booking. No awkwardness. No fine print ambushes.
